Most people should start at $0-8/month, move to a $50/month sweet spot once AI becomes part of daily work, and only add the $100+/month tier once meetings, email, and automation are genuinely part of the job. Here’s the honest breakdown, tier by tier, with the real math.

• Claude free ($0): Use Claude alongside ChatGPT for a second opinion. The free tier gives you a current Sonnet model with 30-100 messages a day. Enough to get a feel for how it thinks differently.

• Notion free ($0): Set up a basic second brain to organize what you’re learning and creating with AI. The free tier handles the basics.

Total: $0-8/month

This gets you surprisingly far. I always tell workshop attendees: start here. Use the free tiers for a month before you spend a dollar. You’ll learn what you actually need.

Upgrade trigger: When you hit the free tier limits more than twice a week, it’s time for Tier 2.

Tier 2: The Sweet Spot ($50/month)

Who this is for: You use AI for real work daily. You’ve outgrown the free tiers and want better models and more features.

What to get:

• ChatGPT Plus ($20/month): GPT-5.5 flagship model, image generation with DALL-E, advanced data analysis. This is the upgrade that makes ChatGPT go from “interesting toy” to “actual work tool.”

• Claude Pro ($20/month): Opus 4.6 access, 1M token context window, 5x usage boost. If you code, write, or work with long documents, this is where Claude becomes indispensable.

• Notion Plus ($10/month): Unlimited file uploads, 30-day page history. Worth it once your second brain has real content in it.

• Zapier free ($0): 100 tasks/month for free. Enough to automate a few workflows connecting your tools.

Total: $50/month

This is the tier I’d recommend for most knowledge workers. Two AI assistants at $20 each, a workspace at $10, and free automation. You’re getting 90% of what the power users get for a fraction of the cost.

Upgrade trigger: When you need AI in meetings, email is eating your day, or you’re building AI agents.

Tier 3: The Power User ($100-200/month)

Who this is for: AI is central to your work. You have lots of meetings, heavy email, or you’re starting to build automations.

What to get (add to Tier 2):

• Granola Business ($14/month): AI meeting notes without the awkward bot joining your call. If you have more than four meetings a week, this pays for itself in the first week.

• Superhuman ($30/month): Expensive for email. Worth it if email takes you more than 30 minutes a day. AI drafts, split inbox, keyboard shortcuts that make Gmail feel broken.

• Zapier Professional ($20/month): 750 tasks/month. Enough to run serious automations between your tools.

• Plaud Note Pro ($8/month + $159 hardware): For in-person meetings, workshops, and conversations. The hardware is a one-time cost. The subscription gives you AI transcription and summaries.

Tier 3 additions: $14 + $30 + $20 + $8 = $72/month on top of Tier 2’s $50/month.

At this level, your AI stack handles meetings, email, note-taking, and workflow automation. You’re in the top 5% of AI tool users.

What I’d Cut If I Had To

If someone told me to get my budget under $200/month tomorrow, here’s what I’d keep:

1. Claude Pro ($20) — Non-negotiable. Best coding and reasoning model.
2. ChatGPT Plus ($20) — Research, images, daily driver.
3. Notion Business ($20) — My entire business runs on this.
4. Granola Business ($14) — Meetings without meeting notes are pointless meetings.
5. Zapier Professional ($20) — The glue between everything.
6. Superhuman ($30) — Email is still my biggest time sink.

Survival stack: $20 + $20 + $20 + $14 + $20 + $30 = $124/month. I’d miss Perplexity for research and Lindy for agents. I’d lose Gemini for images. But this core stack covers 80% of what I need.

The ROI Question

People ask me if AI tools are “worth it.” Here’s how I think about it.

A client was spending 12 hours a month manually copying data between systems. We set up a $20/month Zapier automation. Within two weeks, that 12 hours dropped to 30 minutes. That’s 11.5 hours back per month for $20.

If your time is worth $50/hour, that’s $575 in value for $20 in cost. The ROI isn't close.

Most people don’t need to calculate ROI on the free or $20 tiers. Just try them. The calculus changes at $100+ per month, which is why I recommend starting cheap and upgrading only when you feel the limits.

Common Mistakes With AI Tool Budgets

Buying annual plans too early. Use monthly billing for the first three months. Figure out what sticks before you lock in for a year. The discount isn’t worth it if you cancel in month two.

Paying for overlapping tools. If you have ChatGPT Plus and Claude Pro, you probably don’t also need Google Gemini unless you specifically need image generation or Google Workspace integration. Two AI models is enough for most people.

Skipping the free tiers. Every major AI tool has a free or trial tier. Use them all before committing money. You might discover that Claude’s free tier is enough for your writing needs.

Upgrading for features you don’t use. The $200/month Pro tiers exist for professionals who hit limits daily. If you’re using AI a few times a week, the $20 tiers are more than enough.
